POSITION: Business Manager
Responsible to:Head of School
Introduction
The Business Manager plays an important strategic leadership role in developing and implementing efficient and effective financial and operational strategies, practices and systems that support the school’s mission, vision and goals.
The Business Manager is responsible to the Head of School for managing the financial and physical resources of Maui Preparatory Academy. The primary responsibilities are to:
- provide short and long term financial planning, management and control
- supervise book keeping and to provide technical assistance to the personnel officer
- plan for the efficient management of campus facilities and services
- develop good relations with local, national and international businesses and organisations which impact the financial management of the school and the management of the campus.
The Business Manager reports to the Head of School (HOS) on financial matters, and attends Board Finance Committee meetings as an unofficial member. The Business Manager shall follow the established policies of the Board and Head of School and all local, state, and federal laws. His/her primary objective is to manage the business affairs of Maui Preparatory Academy in such a way as to provide the best possible educational services with the financial resources available.
Financial Planning, Management and Control
The Business Manager is responsible for:
- Overseeing the development and operation of the School’s financial systems and processes, provide overall financial monitoring and oversight
- Create long term strategic financial plans and projections with the HOS and Board Finance Committee to ensure efficient financial operations and the long term financial health and sustainability of the school.
- Develop budget projections, data, and proposals for presentation to the Finance committee
- Formulate effective procedures & processes with admissions to ensure accurateand timely invoicing and the sharing of payment & student information, and oversee communication with parents in terms of financial issues.
- Producing detailed monthly financial statements covering all areas of Maui Preparatory Academy’s financial and legal liability.
- Monitoring the budget through monthly forecasting and presenting forecasts to the Board Finance Committee.
- Reporting regularly to the Board Finance Committee on relevant financial matters.
- Maintaining up-to-date financial records according to approved accounting regulations and auditing requirements.
- Recommending to the Head of School and the Finance Committee Chair any steps necessary to correct budgetary variances during the school year so that the budgeted targets can be met.
- Working closely with the Director of Advancement in regards to fundraising projections, donation processing, and income & expense reconciliations.
- Coordinating with auditors during annual or periodic controls to ensure compliance with local, state and federal laws and the interests of the School.
- Ensuring an accurate and timely system of student account management, billing and collection.
- Manage and oversee accounting team on proper accounting of finances and cash management which meets accounting &audit requirements.
- Reviewing with the director all cases of late and non-payment of fees and managing the collection thereof.
Supervision of bookkeeping and technical assistance
The Business Manager is responsible for:
- Supervising the Business Office staff in performance of their duties related tow ork regulations, accounting, and salary preparations.
- Ensuring the School provides all employees with accurate information on salaries/benefits and that all payments due are made and recorded as agreed.
- Providing salary, taxation and social security information and assistance to new faculty as they arrive and when they leave the School.
- Reviewing personnel benefits and recommending changes as needed.
- Coordinating IT purchasing and contracting.
- Working with Director of Facilities to coordinate the custodial/maintenance staff with regard to purchasing, projects, safety and security standards.
- Overseeing the production of statistical reports required by tax, insurance &/ or government authorities.
Management of School Campus,Facilities and Services
The business manager is responsible for developing, renewing and maintaining the campus facilities to a high standard of safety and practical use. He/she will maintain the operation of the campus and ensure student services to a high standard. He/she will:
- Together with the Head of School and management team, prepare a five-year improvement and development plan. This will be updated annually.
- Assist Facilities Director in preparing a plan and budget for renovations and repairs, including school vacation projects, regular maintenance and improvement, safety checks (e.g. fire extinguishers), inspections and security reviews.
- Ensure adherence to Maui county building codes and contractual obligations as tenant of the buildings.
- With Director of Facilities, oversee and coordinate the work of the on-site custodians, visiting workmen, service companies and utility representatives.
- Oversee the provision of food service for staff and students as liaison between the School and caterer.
- Work closely with the Director of Facilities and custodians to ensure proper cleanliness and maintenance of school building and grounds.
- Oversee procurement of needed goods and services at best possible combination of cost and quality.
- Ensure purchasing system provides staff and students with supplies needed in a cost- effective, timely and responsive manner.
- maintain updated inventory of all capital assets.
- Oversee disposal of unwanted/unneeded inventory.
- Oversee details of construction projects pertaining to moving, insurance, keys, grounds,
- With the Head of School, Principal, and Director of Facilities, oversees safety and emergency procedures, contractual arrangements, city services and other items at the discretion of the director.
Institutional and External Management
The business manager will develop good working relations with vendors, providers of professional services and various governmental agencies, providing the following for the School:
- Obtaining the most cost-effective insurance coverage available.
- Obtaining effective legal, accounting, consulting and other professional services, as needed.
- With Head of School, facilitating productive relationships with landlord, local police, regulatory agencies, school and city government authorities and their representatives, as well as other organisations which may have an impact on the status and/or operation of Maui Preparatory Academy.
- Ensuring families understand their responsibility in tuition payment and/or financial support of the School.
Essential skills and experience:
● Minimum of a BA or BS;
● Strong finance and operation experience with 5+ years in similar work capacity,
preferably in an independent school setting;
● Track record of leading, motivating and developing high performance teams;
● Strong problem-solving and communication skills, with the ability to establish
trust;
● Exceptional written, oral, interpersonal, and presentation skills with all levels;
● Strong leadership and strategic initiative;
